Guidelines and Conditions of Use
The following are guidelines and conditions of use for the Library Conference Room.
General
- Groups reserving the room must be Biola-related (involving students/staff/faculty) with at least four people in attendance. Events that are of a personal nature or hosted by an off-campus group cannot be scheduled in the library conference room. These types of events/meetings are arranged through Conference Services by calling Brent Krammes at x4510. This guideline is in accordance with the university-wide policy. If you are unsure if your group or activity qualifies to use the LCR, please email Kim Knight.
- Room capacity is 25 people.
- The door should be unlocked when you arrive. If you should find it locked, see Kim Knight in the office next door to the conference room. If she is not there, go down to the Reference Desk. The librarian on duty has access to a key and he/she will unlock the door for you.
- When you are through using the room, please close the door and leave it unlocked for the next scheduled event.
- The door should be kept closed during your event; the library must remain a quiet environment for our patrons.
- None of the existing tables or chairs can be removed from the room, but you may rearrange them to meet your needs. When your event is over, the furniture should be put back in its original position.
- If more tables are needed, you may make arrangements through Facilities Services.
- If needed, it is your responsibility to arrange for setup, food services, cleanup, etc.
- If using Facilities Services or Bon Apetit for a special setup, tables, trash cans, etc., must not be brought into the room or set up earlier than the beginning time given to Kim when scheduling the room, because doing so may intrude on another group. Be sure to clarify this with Facilities Services and Bon Apetit, as they have a tendency to show up early.
- The room cannot be scheduled during times that the library is closed; this includes setup and cleanup times.
- There is no charge to use the room.
- A wall-mounted telephone is in the room which provides for on-campus communication. Private workstation phones in the vicinity are not available for use.
- Push pins may be used on the green, fabric-covered walls.
- Attaching decorations, etc. to the ceiling is not permitted.
- A whiteboard is available for your use.
- If you cancel your event, please advise Kim Knight immediately so that the room can be freed up for others to use.
Food
- Red punch is not allowed in the room or anywhere in the library.
- If using Bon Appetit, please include in your request that they return for cleanup promptly at ______(give them the time). Be sure that the ending time you give Kim Knight, when scheduling the room, includes time for cleanup, since following events may begin immediately after the ending time you give her.
- If food is included in your event, please request a trash can (through Facilities Services) to use.
- You may use the refrigerator, if room inside exists, during your scheduled time. Items may not be left when your event is over.
- Items already in the refrigerator cannot be used, e.g. condiments, etc. These belong to library staff.
- If Bon Appetit moves the microwave off the countertop and onto the floor (they do this frequently), please be sure the microwave is placed back on the countertop when your event is over.
Music and Sound
- There is no built-in sound system. There is a screen and data ports. If AV equipment is needed, it is your responsibility to make arrangements through the Media Center, or to bring your own.
- Loud music and/or loud talking, even with the door closed, will cause a disturbance and is not allowed.
